Connecting your Google Calendar

TL;DR — connect Google Calendar in two clicks. The agent reads availability and writes bookings into the same calendar you already use.

TL;DR. Two-way sync with Google Calendar. The agent reads free/busy to offer slots and writes new bookings as events. Personal events are respected — the agent never books over them.

Why bother connecting

If you don't connect a calendar, Deskwise uses its own internal calendar. That works fine, but most operators already live in Google Calendar for personal stuff — connecting means you see everything in one place, and the agent respects the personal stuff (kid's pickup, doctor's appointment) when offering slots.

Connecting Google Calendar

  1. Settings > Integrations > Google Calendar > Connect
  2. Sign in with the Google account that owns your work calendar
  3. Grant calendar read + write permissions (Google's standard OAuth screen)
  4. Pick which calendar(s) the agent should sync with. You can include personal calendars as read-only (for busy-time only) and the business calendar as read-write.
  5. Done — sync is live within 30 seconds.

Using Outlook / Microsoft 365? Not supported today — Deskwise is Google-Workspace-first. If you need M365 sync, email support and we'll prioritize it.

How appointment booking actually works

When a client asks to book:

  1. Agent reads the requested service duration from your menu
  2. Agent asks the calendar API for free slots that fit, within your business hours
  3. Agent offers 2-3 options to the client
  4. Client picks one
  5. Agent creates the event on your calendar with all the client details in the description
  6. Agent confirms with the client via SMS / voice

Calendar updates from the agent appear in Google Calendar within seconds. Manual edits you make in your calendar app are pulled back to Deskwise on the next sync (every 60 seconds).

Buffers, working hours, and conflicts

Settings > Calendar > Buffers lets you configure:

  • Before-buffer — minutes of prep time the agent leaves before each booking (default 0; common for cleaning, room turnover)
  • After-buffer — minutes the agent leaves after (default 0; common for documentation)
  • Min advance notice — how close to "now" the agent will book (default 2 hours)
  • Max future window — how far out the agent will book (default 60 days)

Conflicts are detected automatically. If your calendar shows a personal event in a slot, the agent won't offer it. If you double-book manually, the agent surfaces the conflict in your inbox so you can resolve.

Multi-provider / per-stylist calendars

Business and Enterprise support multiple calendars — one per stylist, provider, or technician. The agent asks the client which provider they want (or assigns based on availability and skill tag), then books on that calendar. Setup in Settings > Team > [member] > Calendar.

Disconnecting

Settings > Integrations > Google Calendar > Disconnect. Existing bookings stay on your Google calendar; the agent stops reading and writing it. You can also revoke from the Google account permissions page if you'd rather pull the rug from the Google side.

Frequently asked

Does it work with iCloud Calendar?

Not natively — iCloud Calendar doesn't expose a third-party API. Workaround: share your iCloud calendar to a Google account, then connect Google.

What if I use Calendly or Acuity already?

You don't need them anymore — the agent replaces the booking-link workflow. If you want to keep them in parallel during the transition, just don't connect them as a calendar; their events will show up as busy time once they hit your Google Calendar.

Does Deskwise read the content of my events?

Only the time and "busy/free" status by default. Event titles and descriptions are only read if you explicitly opt in (Settings > Integrations > Read event details). The agent never shares event content with clients.
