Setting business hours and after-hours behavior

TL;DR — set your hours under Settings > Hours. After-hours, the agent still answers calls and texts, but with a different greeting, optional voicemail fallback, and urgent-call routing.

TL;DR. The agent answers 24/7 by default, but it behaves differently outside your stated business hours — softer greeting, no forwarding to your cell, books for the next open day, and optionally escalates true emergencies to an on-call number.

Setting your schedule

Open Settings > Hours. Per day of week, set open and close. Closed days stay empty. The hours are local to your business timezone, which Deskwise picked up from your signup address.

If you have multiple locations on Practice, each location has its own schedule.

What "after-hours" actually changes

Outside your stated hours, the agent shifts in five ways:

  • Greeting — uses your after-hours greeting ("Hi, we're closed right now, but I can still book you for tomorrow") instead of the main one.
  • Forwarding — does not forward to your cell, even on "Operator first" mode. You're not on call.
  • Booking horizon — books for the next open day. Won't promise same-day if you're closed.
  • SMS auto-reply — inbound texts after-hours get a soft auto-reply ("Got it, we're closed — I'll book or follow up first thing tomorrow") then the agent processes normally.
  • Urgent routing — if the caller mentions a keyword you've configured as urgent ("emergency," "flooding," "locked out"), the agent breaks the no-forwarding rule and rings your on-call number.

Voicemail fallback

Some operators want a true voicemail option after-hours instead of the agent answering. Settings > Hours > After-hours mode:

  • Agent (default) — agent answers with the after-hours greeting and can book / take messages.
  • Voicemail — agent doesn't pick up; calls go to a Deskwise voicemail box. Voicemails are transcribed and texted to you at 7am.
  • Hybrid — agent answers, but if it can't book or escalate, it offers to take a voicemail instead. Best of both.

Most operators stay on Agent — losing a call after-hours costs more than the occasional weird agent reply.

After-hours SMS auto-reply

If you want a custom auto-reply for inbound texts after-hours, set it in Settings > Hours > SMS auto-reply. Keep it short — "Hi! We're closed but I'll get you booked. What are you looking for?" works better than a long apology.

Urgent call routing

For verticals where a true after-hours emergency is real (HVAC burst pipe, vet clinical issue, locksmith), turn on urgent routing.

  1. Settings > Hours > Urgent routing
  2. Add keywords that trigger urgent (defaults: "emergency," "flooding," "no heat," "bleeding"). Add your own.
  3. Set the on-call number — your cell, or a rotating queue.
  4. Decide whether the agent confirms with the caller ("This sounds urgent, let me get someone on the line") or just forwards silently.
Urgent routing is a safety net, not a substitute for proper on-call procedures. For vet and medical practices, always state the local emergency line alongside your own — the agent will read both.

Holidays and one-off closures

Settings > Hours > Closures lets you add one-off closed days (holidays, vacations, training days). The agent treats them as after-hours and won't book on them. You can set a custom greeting per closure ("Closed for the long weekend, we'll see you Tuesday").

What timezone does the agent use?

Your business timezone, set at signup from your address. You can change it under Settings > General > Timezone. The agent always quotes times in the client's local timezone if it can detect one, otherwise yours.

Can I run different hours per service?

Yes — Settings > Services > [service] > Bookable hours. Useful if certain services are only offered on certain days (e.g. botox only on Wednesdays).

Does urgent routing wake me up at 3am?

Only if your urgent keywords match. Tune them carefully — too broad and you'll get woken up for non-urgent calls; too narrow and the truly urgent ones slip through.
