Customizing your AI assistant's voice and first message

TL;DR — pick a voice persona, write a short greeting, and set the tone in one paragraph. Most operators get this 90% right in 5 minutes.

TL;DR. The voice persona is what the agent sounds like. The first message is what it says first. The tone is how it talks throughout the conversation. All three live under Settings > Voice and take about five minutes.

Pick a voice

Open Settings > Voice > Persona. We ship 6 defaults that cover most service businesses:

  • Warm female — soft, welcoming, default for spa / wellness / aesthetic
  • Warm male — friendly and conversational, default for HVAC / plumbing / blue-collar
  • Polished female — crisp and professional, default for dental / med spa / clinical
  • Polished male — measured and confident, default for legal / financial / agency
  • Energetic female — upbeat, default for fitness / kids' / event
  • Neutral — mid-range, no strong character, default for tech / IT / B2B

If none of the 6 fit, Practice customers can request a custom voice clone (your own voice, or a licensed actor). Contact your success manager.

Write the first message

The first message plays the instant a call connects. Keep it under 12 words. Three patterns that work:

  • Identification + offer to help — "Hi, you've reached Maya Studios, how can I help?"
  • Identification + named agent — "Hi, this is Ava from Maya Studios — how can I help?" (clients like having a name to talk to)
  • Identification + immediate prompt — "Hi, Maya Studios. What can I book for you today?" (faster, best for high-volume practices)
Avoid: "Welcome to…", "Please listen carefully…", or anything that sounds like an IVR. The whole point is that the agent doesn't feel like a phone tree.

Set the tone

Settings > Voice > Tone holds one paragraph that describes how the agent should sound throughout the conversation, not just the greeting. Examples:

  • Salon: "Warm, conversational, uses contractions. Talks to clients like a friend who happens to do their hair. Never says 'absolutely' or 'wonderful.' Quick to confirm, slow to upsell."
  • Dental: "Calm, professional, never alarming. Acknowledges that calling a dentist isn't fun. Answers cost questions directly rather than deflecting to 'we'll discuss at your visit.'"
  • HVAC: "Direct, no fluff. Treats the caller like they have a problem to solve, not a service to sell. Confirms address and symptom on the first turn."

Read it out loud after you write it — if it sounds like a person, it'll work. If it sounds like a brand brief, redo it.

Voice settings (SMS too)

The same tone paragraph applies to SMS replies, so the agent reads the same in both channels. You don't have to write two.

Testing your changes

After you save, call your own number from your phone. The new voice and greeting should be live within 30 seconds. If you'd rather test SMS first, text your own number — the agent will reply using the new tone.

Frequently asked

Can I have a different voice for after-hours calls?

Yes — Settings > Voice > After-hours lets you pick a different persona and greeting for outside business hours. Most operators don't bother, but it's there if you want to soften the after-hours feel.

Will clients know it's AI?

Only if they ask. The agent will never lie — if a caller asks "are you a person?" the agent says it's the practice's AI assistant. We don't disclose proactively unless your state requires it.

Can I record my own voice for the greeting?

Not on Solo or Studio. Business plan supports custom voice clones with consent (your voice, or a licensed actor's).
