Most operators start solo. The moment you add a second person — a front-desk helper, a second stylist, a partner — you need role-based permissions. Deskwise has four roles. Two minutes to set up.
The four roles
- Owner: full access. There's exactly one owner per account, and it's whoever signed up. Can transfer ownership in Settings > Team.
- Admin: same as owner minus billing + ownership transfer. Use for partners or a business manager.
- Operator: can see calendar, take bookings, message clients, see their own bookings + clients. Cannot see other operators' books or financial data. Use for staff.
- Viewer: read-only. Cannot message, book, or change anything. Use for accountants, advisors, or part-time observers.
Inviting someone (2 minutes)
- Settings > Team > Invite
- Enter email + name
- Pick role (Admin / Operator / Viewer)
- If Operator, pick which locations they work at + which services they perform (this drives the calendar)
- Send invite
- They get an email with a link to set up their account

Operator-level privacy
Operators cannot see each other's books by default. This matters in salons where stylists are independent contractors with their own client books — they want their book private. If you want operators to see each other's calendars (e.g. a coordinated practice), toggle Settings > Team > Shared calendar visibility → On.
Removing someone
Settings > Team > [person] > Remove. They lose access immediately. Their bookings remain on the calendar (clients still see them as scheduled) but no new bookings can be made. If they had saved client conversations, those move to your inbox so nothing falls through.
When to transfer ownership
If the business changes hands (new owner, partnership reshuffle, you're stepping back), transfer ownership. Settings > Team > Transfer ownership > [admin]. The new owner takes over billing + plan + Stripe Connect. Your old account becomes Admin.
Frequently asked
How many team members can I have?
Solo plan: 1 user. Enterprise plan: 5 users. Business plan: unlimited. Need more on Studio? Bump to Practice, or contact us for a custom seat add-on.
Can operators message clients on behalf of the business, or under their own name?
Both. The agent uses the business name by default. When an operator steps in manually, the conversation is signed with their name. Clients see continuity.
What if I want a contractor (1099) to be on the team?
Operator role is built for this — they see only their own book, take their own bookings, and you can pay them out separately from Stripe Connect's payout schedule. Some operators add their stylists as Operators and use a custom commission split (Settings > Team > Commissions, Business plan only).
